Exhibit Booth Information / Requirements

Exhibit Booth Space is available for reservation only via conference sponsorships at the silver, gold, platinum, and diamond levels (see attached Sponsorship Opportunities).

Booth Layouts:
The Exhibitor Hall Booth Layout includes twenty-four (24) ten-foot wide by eight-foot deep exhibitor booths. All booths will have a ten-foot height limit and will include pipe and drape, a table, two chairs and a 110 volt electrical service. Selection of prime exhibit space locations for Diamond and Platinum sponsors will be allowed as payment is received. Booth selections for Gold and Silver sponsors will begin after July 15, 2009 (as payment is received). Booth Layout Map

Payment & Cancellation:
Payment in full must accompany the online or mail in registration. Refunds are subject to the discretion of the Conference Committee. Booth assignments will not be confirmed until payment is received.

Subletting Space:
No exhibitor may assign, sublet or apportion its space in whole or in part, nor exhibit any products or services other than those offered by exhibitor in the normal course of its business.

Exhibit Booth Schedule:
All Booths are to be set up and staffed during conference business hours from Monday, September 28, 2009 at 8:00 AM, through Wednesday, September 30, 2009 until 10:30 AM.

Tuesday, Sept. 29, 2009 Exhibit Area Open 7:00 am to 5:00 pm
Wednesday, Sept. 30, 2009 Exhibit Area Open 7:00 am to 10:30 am
Wednesday, Sept. 30, 2009 Dismantle 10:30 am to 2:00 pm

Exhibits must be completely set up by the opening of the Conference on Monday morning at 8:00 am. No installing, dismantling, rearranging, repairing, servicing, removing, or supplementing of exhibits will be permitted during the exhibit booth scheduled hours. All booth exhibits shall be completely dismantled and removed from the exhibit hall by 2:00 pm on Wednesday.

Character of Exhibits and Exhibit Personnel:
Exhibits are subject to the approval of the Conference Committee and shall be consistent with the business-like atmosphere of the Conference. Exhibit personnel shall dress and conduct themselves in a manner consistent with the business-like atmosphere of the Conference. No music or other sound or noise-creating devices shall be permitted.

Care of Property:
The use of thumbtacks, tape, nails, bolts, or tools or materials that could mark the floors or walls is prohibited. Any damage to the hotel or conference facility property caused by the carelessness or intent of an exhibitor, its employees or agents, must be paid for by the exhibitor causing such damage.

Security:
The Conference undertakes no duty to exercise care, nor assumes any added responsibility, for the protection and safety of the exhibitor, its officials, agents or employees, or the protection of the property used in connection with the exhibit, from theft, injury, or damage. Normal hotel security will be utilized during the conference, and no special security provisions will be in place. Exhibitors are encouraged to secure their own valuables during and outside of the conference business hours.

Fire Regulations:
All exhibits must conform to the fire laws, health regulations, electrical codes, and other local, state, and federal laws and regulations. This includes not blocking any of the fire exits.

Conformity with Hotel Contract:
The contract for exhibit space and these rules and regulations are subject to the Conference’s agreement with the hotel, and in the event of any conflict, the Conference’s agreement shall prevail.

Indemnification/Hold Harmless Clause:
Exhibitor agrees to indemnify, hold harmless and defend the Conference and the hotel from and against any and all liabilities, damages, actions, losses, claims and expenses on account of personal injury, death or damage to or loss of property arising out of any act, omission, negligence, fault, or violation of a law or ordinance by the Exhibitor or its employees or agents.

Cancellation:
Should the Conference cancel any exhibit, or cancel/reschedule the entire event, the exhibit booth contract will terminate and the exhibitor will waive any claim for damages. The Conference’s liability shall be limited to the monies paid by the exhibitor as exhibit booth rental, less a proportionate share of all expenses incurred by the Conference for the exposition.

Other Matters:
All matters and questions not covered by the contract for exhibit space or these rules and regulations are subject to the decision of the Conference Committee.
